What to Know Before Starting Therapy in Philadelphia

Starting therapy can feel like a big step, and it’s normal to have questions. At Queen Village Therapy, we aim to make the process clear, transparent, and supportive from the very beginning.

If you’re looking for therapy in Philadelphia, virtual therapy in Pennsylvania, or online therapy in Virginia, this guide will walk you through everything you need to know—from insurance and billing to scheduling your first session.

You’ll find answers to common questions about insurance coverage, therapy costs, confidentiality, and appointment availability below. If you need additional support, our team is always here to help.

Do You Accept Insurance for Therapy in Philadelphia?

Yes. We accept insurance and are in-network with most major insurance providers for therapy in Philadelphia and virtual therapy services.

As a courtesy, we will submit claims on your behalf. Because every insurance plan is different, we recommend verifying your mental health benefits before starting therapy.

We’re also happy to help you:

  • Understand your coverage

  • Estimate your out-of-pocket costs

  • Navigate insurance questions before your first session

How Does Insurance Billing Work for Therapy?

Your insurance provider determines the cost of therapy, including:

  • Whether therapy sessions are covered

  • How much applies to your deductible

  • Your copay or coinsurance amount

If a claim is denied, our team will:

  • Contact the insurance company

  • Clarify the reason for denial

  • Submit an appeal when appropriate

While we advocate for our clients, any unpaid balance ultimately becomes the client’s responsibility if a claim is not approved.

What Should I Know About Using Insurance for Therapy?

Using insurance can make therapy more affordable, but coverage varies widely. Before starting therapy, we recommend asking your insurance provider:

  • Do I have a deductible? How much remains?

  • What is my copay or coinsurance for outpatient therapy?

  • Do I need pre-authorization for therapy services?

  • Is virtual therapy covered under my plan?

Understanding these details ahead of time can help prevent unexpected costs.

If you’re unsure how insurance works or how it compares to self-pay, you can also learn more on our page about using insurance vs. private pay for therapy.

How Does EAP (Employee Assistance Program) Therapy Work?

If you have access to an Employee Assistance Program (EAP), you may qualify for free short-term therapy sessions.

To get started:

  • Obtain an authorization number from your EAP provider

  • Share it with our team before your first appointment

We will bill your sessions through your EAP until your authorized visits are used. After that, you can continue therapy using:

  • Insurance

  • Private pay

If an EAP claim is denied, we will bill your insurance. If that is also denied, the session fee becomes your responsibility.

How Long Are Therapy Session?
  • Standard sessions: 45–53 minutes

  • Initial intake session: up to 60 minutes

The first session allows time to fully understand your concerns, goals, and treatment plan.

Is Therapy Confidential?

Yes. Therapy is confidential and protected by privacy laws.

There are a few exceptions required by law:

  • If a child is in danger

  • If you are at risk of harming yourself

  • If you are planning to harm someone else

If you have questions about confidentiality or privacy, we’re happy to talk through them with you.

What Is Your Cancellation Policy?

We require at least 24 hours’ notice to cancel or reschedule an appointment.

  • Late cancellations (under 24 hours) may be charged the full session fee

  • Insurance does not cover missed appointment fees

Do You Offer Virtual Therapy in Pennsylvania and Virginia?

Yes. We provide secure, HIPAA-compliant virtual therapy for clients located in:

  • Pennsylvania

  • Virginia

Virtual therapy offers the same level of care as in-person sessions, with the added convenience of attending from home.

Do You Provide Superbills for Out-of-Network Therapy?

Yes. If your therapist is out-of-network, we can provide a superbill upon request.

You can submit this to your insurance company for possible reimbursement, depending on your out-of-network benefits.
